Competition Privacy Policy

Your personal data is collected and processed by Experia Innovation Playground, operated under Promofair (a Choueiri Group brand), Beirut, Lebanon. References to “we”, “us”, or “Experia” in this policy refer to this entity.

When you apply to participate in the Pitch Competition or Hackathon, we collect:

• Full name and contact details (email address, phone number)
• Organisation or team name and a brief description of your project
• Professional background information (as provided in the application form)
• Pitch deck, prototype materials, or other supporting documents submitted as part of your application
• Communications exchanged with the Experia team during the selection and coaching process

If you are selected to participate in the Live Pitch or Hackathon, we may additionally collect:

• Photographs, video recordings, and audio from the event
• Media interviews and vox pops (with prior consent)

We use your data to:

• Review and evaluate your application
• Communicate with you regarding your application status, coaching sessions, and event logistics
• Facilitate judging, mentorship, and partner introductions where relevant
• Produce post-event impact reporting and documentation
• Promote the Experia programme through our website, social media channels, and media partnerships (where you have consented to this use or where it falls within our legitimate interest as an event organiser)

We do not sell your data to third parties. We do not use your data for automated decision-making.

We may share relevant parts of your application or profile with:

• Members of the judging and selection panel (who are bound by confidentiality obligations)
• Coaching mentors assigned during Phase 2
• Challenge sponsors for the Hackathon (limited to information relevant to their specific challenge track)
• Media partners, for the purpose of event coverage, where you have been made aware and have not objected

We will not share your full application materials externally without your knowledge.

• Application data for unsuccessful applicants is retained for a period of 12 months following the close of the competition, then deleted.
• Data relating to shortlisted teams, finalists, and winners may be retained for up to 3 years for impact reporting and programme alumni purposes.
• You may request deletion of your data at any time by contacting us at the address below.

You have the right to:

• Access the personal data we hold about you
• Request correction of any inaccurate data
• Request deletion of your data, subject to any legal or contractual obligations
• Withdraw consent for promotional use of your image or materials at any time

We take reasonable measures to protect your data from unauthorised access, loss, or misuse. Application materials are stored securely and access is limited to authorised members of the Experia team and its designated partners.
